Switching from iClassPro. The practical guide.

iClassPro is a good product. It's also one of the most expensive options in the market. If your bill has climbed past what your studio can justify, or you're feeling like you're paying for features you don't use, this is the guide for what leaving actually looks like.

I'm James. My wife and I run a dance studio; I built the software you're reading about. Practical version: what to export, how long it takes, what to watch for.

First: is switching worth it?

iClassPro's family portal is genuinely one of the best in the incumbent space. If parents love your portal and the software isn't causing pain, don't switch. Cost alone isn't always a reason.

What comes out of iClassPro

iClassPro's export tools are workable. You'll want:

Accounts (families)

Reports → Accounts → Account List. Export to CSV. Covers primary contact, email, phone, address, active status.

Students

Reports → Students → Student List. Includes DOB, family relationship, active status, notes.

Classes

Reports → Classes → Class List. Filter to active classes for your migration season. Includes instructor, day/time, tuition, capacity.

Enrollments

Reports → Enrollments → Enrollment List. Filter to active enrollments in the seasons you're moving over.

What DOESN'T need to come over

Historical transactions, past attendance, old seasons. iClassPro stays your archive; you only migrate what's actively used going forward.

What goes into Presently

Combined family + student import

One CSV with a row per student and family fields duplicated across siblings. Presently deduplicates families automatically.

Classes

Weekly schedules + date-specific classes both supported. Rate groups on class types so classes with the same tuition structure bill identically.

Enrollments

Maps by name/email. In-app resolution wizard for ambiguous matches — fix a few once, and it remembers.

Realistic timeline

For a 300-student studio:

Day 1 (2 hours): Export CSVs from iClassPro. Sign up for a Presently trial. Set up studio info, tuition, seasons.
Day 2 (3 hours): Import families + students. Verify a handful of families end-to-end.
Day 3 (2 hours): Import classes + configure rate groups.
Day 4 (2 hours): Import enrollments + resolve wizard matches.
Day 5 (1 hour): Dry run with a real family end-to-end.
Day 6: Announce to families with magic-link portal invites.
Day 7: Cancel iClassPro at the end of your billing cycle (mind auto-renewal dates — this is important).

Common gotchas

1. Auto-renewal dates

This is the biggest one for iClassPro. Check your contract renewal date. Cancel with written notice before the auto-renew clause kicks in, or you may be locked into another year. iClassPro tends to run annual contracts.

2. Rate group mapping

iClassPro tuition can be per-class or per-program. Presently uses class types with rate groups. Spend an hour up-front deciding groups (usually 3-6 covers a studio: Regular, Company, Preschool, Camps).

3. Sibling and multi-class discounts

iClassPro's discounts are typically account-scoped. Presently's are set once on the rate group and apply automatically. Simpler in practice, but map your existing discount rules explicitly during setup.

4. Autopay migration

Cards don't migrate. Families re-add payment methods on Presently's family portal. Send a heads-up so families aren't surprised by their first invoice.

5. Historical balances

Cut over at a season boundary if possible with balances at zero. If you have to migrate mid-season, import balances as opening ledger entries.

The cost math

A 300-student studio on iClassPro is typically paying $175-$275+/month once base plus add-ons are counted. This is the biggest cost delta in the space.

Presently Enterprise ($149/mo) plus optional add-ons ($9/mo each) tops out around $175/mo with everything on. Most studios end up at $149-$167/mo.

Savings: $50-$100+/month, or $600-$1,200+/year. Enough to matter, especially over multiple years.

The more meaningful win is escaping the annual contract lock-in. Month-to-month means you're never trapped waiting for a renewal window.
